Job Description
JOB Overview:
The Group Rooms Coordinator is responsible for ensuring a superior (guest) first impression by consistently utilizing their analytical ability, in conjunction with their impeccable communication skills to seamlessly support the Sales teams group business.The associate is also responsible for meeting the departmental expectations and revenue goals, as well as, supporting the revenue management strategy.
Essential Functions:
1.Assure accuracy of group blocks and that SMS and Delphi match by running a discrepancy report.
2.Input and edit group rooming lists as needed.
3.Monitor pickup of group room blocks and flag groups that are about to fill their room block or severely behind pace for action.
4.Monitor cutoff dates and release groups on the cutoff date unless otherwise determined in the Group Rooms Control Meeting.
communicate with meeting planners by sending advance room lists and informing of approaching cutoff dates.
6.Assure complete accuracy in all group reservations and group room blocks
a.Audit group reservations made by individual Reservation Sales Agents.
b.Assure accurate billing of all individual reservations within group blocks.
1.Monitor online web reservations setup, availability and cutoff to mirror SMS and Delphi.
2.Send daily Transaction Report to Sales Managers and Revenue Team.
3.Attend Group Resume Meeting.
4.Run Group Rooms Control meeting.
5.Audit Delphi versus SMS to assure Delphi s rooms are populated with appropriate rates for groups just experienced.
6.Generate group booking activity report.
7.Be assertive with sales team to ensure deadlines are met.
8.Ensure accuracy of group management tile and rate codes.
9.Work closely with the Conference Coordinator
manage group attrition:
a.Up-selling room types
b.Being in contact with group regarding attrition cutoff date
c.Manage group pickup report to notice potential attrition as early as possible.
11.Ensure placement of group rooms satisfies group needs.
12.Create group resumes for room-only groups.
pertinent group information to the Reservations Team.
14.Take transient reservations when needed.

all pertinent information to the Reservations Manager, Director of Revenue Optimization, Director of Sales & Marketing and Sales Managers.
18.Creates cost saving controls,ensures economical and safe use of supplies and equipment.
19.Upholds all safety standards of Stowe Mountain Lodge and Destination Hotels and Resorts.
20.Is able to communicate verbally and in writing in English.
21.Is ateam playerandinteracts with all guests and fellow Associates in a positive and friendly manner.
Required Qualifications
Qualifications: EDUCATION, KNOWLEDGE, TRAINING, & WORK
Experience:
High school diploma or equivalent required. College degree preferred.
Prior hotel or hospitality experience required.
Pleasant speaking voice
Bilingual preferred.
Previous reservations experience required.
Must be able to type accurately (30 words per minute).
Excellent communication skills.
Technical proficiency (basic computer applications).
Attention to detail.
Customer service experience.
Strong organizational and time management discipline
